Keeping Your Name Consistent Across Application Documents

Prevent avoidable discrepancies between passport details, academic records and application forms.

Use the passport as your identity reference

Enter your full name using the passport spelling and order requested by the application form. If the form separates family and given names, follow its instructions carefully. Do not shorten the name to the version used on social media or in a messaging account.

Review every record together

Compare the passport page, diploma, transcript, test results and supporting certificates before upload. Small spelling differences, initials or swapped name order should be identified early. Keep dates of birth and nationality consistent as well.

Explain a discrepancy

If an academic document uses a different form of your name, ask the issuing institution and admissions office what evidence is appropriate. Do not alter an original record digitally to make it match. A clear explanation or properly issued correction is preferable to an unexplained inconsistency.

Check the admission documents on receipt

When an offer or study-confirmation document arrives, compare it with the passport immediately. Corrections can affect visa preparation and travel timing. Retain the correspondence and the corrected version with your application records.
